FDG Web Billing Practices & Policies
What we offer
We provide design, development, marketing, and consulting services. We provide these services as part of scoped projects, on-going retainers, or on an ad hoc basis. Whether our services result in the production of a website, application, or other digital asset or effort, you are paying for our work and expertise to produce this for you in its many forms.
Billing procedures
All of our Project-Based work will be defined with an upfront Proposal and MSA (Master Service Agreement). We will request an initial deposit of 20-30% of the project total. The remaining balance will be invoiced on a monthly progress billing cycle based on a fixed monthly rate determined prior to the start of the project. For Time & Materials Ad Hoc Work (not project specific), billing is based upon the time spent by FDG Web staff performing services at our agency hourly rate. Marketing Services are based on the scope of the engagement and billed on a monthly retainer basis with a 6 month minimum engagement.
Unless otherwise requested and agreed upon in writing, we bill on a monthly invoice cycle. After the initial deposit is collected, we send a progress bill every additional month for the duration of the project until completed. Payment is due within 15 days of invoice date and a 1.5% service charge will be added to accounts that are more than 30 days past due. If a client has not responded for 30 days or does not provide materials, input, or feedback that are holding up our finishing a project, we reserve the right to bill for the full outstanding balance of the quoted amount whether the project is finished or not. In the case of ongoing projects or Ad Hoc Work, if the hours in a particular period were not billed, we reserve the right to account for that time in a separate or future bill.
How we determine our rates
Effective February 1st, 2026, our standard hourly rate for services is $215/hr (Agency Rate) and $325/hr (After Hours Emergency/Security).
Billing rates are determined based on the knowledge and the degree of skill required for providing our range of services. Our rates reflect that we are a full-time, full-service, US-based firm.
How we account for time
For Time & Materials Ad Hoc work, we use a cloud-based time tracking system where each employee has timers for various clients, projects, and tasks. We bill in .25-hour increments, where applicable. In some cases, units of time may represent a fixed scope of work, such as upgrades, patches, or other tasks. If there is a maintenance agreement in place or an amount that was quoted ahead of engaging in the work, this will be communicated in a separate SLA (Service Level Agreement).
Additional fees or expenses
All licenses, software, bank fees, gateway fees, hosting fees or other third-party fees are not included in our estimates or bids, except when presented as line-items. While we may purchase these for you on your behalf, and bill for them later – these costs are considered to be in addition to any services we bill for. All clients located in Washington State or that have nexus in Washington State are subject to sales tax on all services, software, licenses, stock photography, templates, or other materials. We add a 30% surcharge on any expense we have to purchase on your behalf or any license we maintain for you to account for transaction fees & other taxes. A copy of our resale certificate is available upon request.
Changes of scope
All scope changes must be defined in writing and agreed upon by both parties. This will be fully detailed in the upfront Proposal, MSA, and/or SLA for any project or engagement.
Clients can provide a pre-determined specification list which can be used to provide an estimate of cost, however, any adjustments made during any phase of work will require an updated Proposal or Change of Scope document or may be billed at project completion.
Needs assessments
We may suggest a Needs Assessment during the Discovery phase at the start of an engagement. This allows FDG Web staff to fully understand the clients’ goals for the project and to determine the scope of the project, the complexity of the codebase required, and any third party platforms involved. Needs Assessments are quoted at a fixed rate and term as defined in the initial Proposal.
Once we are engaged to help you with properly scoping a project, it is important that we have organized information. This means that you should be prepared to provide us with the necessary access information for your domain, web hosting, email, or other related services and platforms.
Monthly maintenance plans
FDG Web may provide a monthly or annual maintenance plan based on the specific needs of the client. Pricing for this service will be clearly defined and agreed upon by both parties prior to an engagement.
FDG Web cannot run your day-to-day digital operations, storefront, IT Dept, customer service or monitor, upgrade, patch or otherwise be responsible for any part of your business tech stack without a Service Level Agreement (SLA).
Post-launch training
FDG Web will provide training for clients and their designated employees post-launch so that they can more fully understand how to use the various technologies and systems that we build as these systems will need to be managed on an ongoing basis. We will also provide links to any manuals or other documentation to help clients learn their systems.
We cannot be responsible for how much of this training results in successful knowledge transfer to your staff. However, we will offer to maintain these projects after launch for a pre-determined additional cost.
Retainers
FDG Web may require a monthly retainer for recurring services performed.
